Democracy Reporting International (DRI) is a non-partisan, independent, not-for-profit organisation registered in Berlin. DRI promotes political participation of citizens, accountability of state bodies, and the development of democratic institutions worldwide. 
DRI is currently recruiting aLogistics and Administration Assistant for its Country Office in Lebanon.Under the supervision of the Finance and Administration Manageryou will support finance, administration, procurement, and human resources management, especially with the following tasks: 

Your tasks
  • Support on field payments and advance payments.  
  • Maintain an electronic and physical filling system for administration and procurement records in Lebanon.  
  • Support the Finance and Administration Manager in the recruitment process for experts and consultants (collect requested documents, contact details, contract drafting and archiving, collect/prepare time sheets and invoices). 
  • Ensure the submission of required procurement and logistics-related documentation (vehicle log sheets, equipment handover, prepare accident and incident reports, etc.). 
  • Support the Procurement and Logistics Coordinator on establishing agreements with vendors and suppliers (contact details, contract archiving and scanning, etc.). 
  • Support on updating inventory list with details of procurements.  
  • Support on the implementation of the project activities such as organising events, workshops, trainings (venue booking, arrange transportation, and other logistical arrangements). 
  • Manage periodic vehicles maintenance. 
  • Assist with travel arrangements for project staff and visitors. 
  • Ensure that all office systems and equipment (power, water, telephone, photocopier, fax, etc.) are in good working conditions.  
  • Keep the storage rooms and publications and keeping record of all items including the delivery and receipt of equipment.  
  • Perform other relevant duties, as required. 

Your skills and experience
Required:
  • University degree in Business Administration or related fields 
  • At least 2 years of logistical and administrative experience 
  • Familiarity with non-governmental organisations and international donors. 
  • Demonstrated experience working with diverse teams in a fast-paced environment 
  • Excellent interpersonal skills, including a track record of successful coordination and effective working relations with a wide range of stakeholders (e.g., vendors, service providers, and experts) 
  • Strong written and spoken communication skills in both English and Arabic
