Democracy Reporting International (DRI) is a non-partisan, independent, not-for-profit organisation registered in Berlin with several country offices worldwide. DRI promotes political participation of citizens, accountability of state bodies, and the development of democratic institutions worldwide. 

DRI is currently recruiting a part-time Finance and Administration Associate to support the implementation of the awarded EU-co-funded project “Strengthening Resilience against Disinformation in Sri Lanka”.  The Finance and Administration Associate will support the project team and contribute to financial reporting, project administration and procurement.

Your tasks

Under the supervision of the HQ Finance and Controlling Manager at DRI HQ, and in close cooperation with the Project Manager in Sri Lanka, the Finance and Administration Associate will be responsible of following tasks: 
 
  • Support in logistics of events and office needs, including obtaining quotes, liaising with vendors, preparing procurement forms and finalising agreements, travel arrangements in coordination with the Project Manager;
  • Provide general office support as purchase of office supplies, asset management, facility repairs and maintenance; to help ensure the smooth functioning of the activities of DRI Sri Lanka;
  • Review incoming invoices, process cash payments and prepare all accounting records, including invoices;
  • Book the Sri Lanka expenses in DRI accounting and finance software in a daily basis;
  • Prepare the monthly financial reports to HQ;
  • Ensuring compliance with applicable labour and tax regulations in Sri Lanka.
  • Support with the implementation of all administrative policies,procedures and templates;
  • Support with financial guidance to subgrantees and project partners; 
  • Conduct first review of the subgrantees and project partners’ financial reports; 
  • Support with the recruitment process for DRI Sri Lanka: publishing job offers, organisation of interviews and technical tests and the archiving of the recruitment process;
  • Organisation of the personnel file for DRI Sri Lanka staff 
  • Support staff members for preparation of their time sheets and invoices
  • Providing any additional support requested by the Project Manager to ensure the successful implementation of the project.

Your skills and experience

Required:
  • University degree in Finance, Accounting or Business Administration or equivalent degree;
  • Minimum three years of relevant professional experience in administration and financial management; with demonstrated experience (at least one year) of working in a similar role for not-for-profit organisations; 
  • Good knowledge in accountancy;
  • Good IT-skills, especially good knowledge of Excel;
  • Good communicationand negotiation skills; 
  • Fluency in both written and spoken English;
  • Willingness to travel if necessary.

  • Demonstrated integrity, honesty, and respect for confidentiality.
Preferred: 
  • Experience with Microsoft Business Central ERP systems.
  • Knowledge of Sinhala and Tamil is an advantage.
